A missed customer call becomes a text conversation, a booking, and a recovered job. The film then shows attribution, a shop website, ads, reviews, local visibility, and AI search. It closes: You run the shop. We bring in the next customer.
Sapt works alongside Shop-Ware, not instead of it
This page is not a case for leaving Shop-Ware. Shop-Ware stays your shop system, and its CRM can keep sending your reminders and campaigns. Sapt covers different jobs: the calls nobody picks up, customers who would rather text, and your Google listing.
Sapt and Shop-Ware today. Sapt isn’t connected to Shop-Ware yet, and it still works for Shop-Ware shops. The assistant answers the customer by text and takes the booking request, then your advisor confirms the time in Shop-Ware. Nothing lands on your schedule without your team seeing it first.
Want a direct connection? Contact our team or email hello@sapt.ai and we’ll help get one set up. You can see every system and its status, and the shop software guide explains how we test a connection with you.
What Shop-Ware includes for customer messages
Shop-Ware, part of Vehlo since 2024, launched its CRM in July 2025. Per its CRM page, it covers:
Reminders and follow-up. Service reminders, thank-you messages with review requests, deferred work reminders for declined repairs, “Miss You” campaigns for inactive customers, and custom offers based on vehicle and service history.
Campaign tools. Segments by visit history, time since the last appointment or deferred work, an email editor with templates, and tracking of opens, clicks and revenue.
Online Service Scheduler. Customers book on your website from real-time availability, and the appointment flows into Shop-Ware. Automated text and email reminders go out before the visit, and you can set rules such as limits on waiters versus drop-offs, per the scheduler page.
Messenger. Customers reply to a shared repair order by text or live chat, and Shop-Ware keeps the conversation in one thread, per the Messenger page. The Startup plan includes limited two-way texting; Pro and up include unlimited.
AI Receptionist. Shop-Ware’s AI Receptionist answers calls, answers common questions, books appointments and hands calls to your team when they need a person. Its blog says bookings land on your schedule through the Online Service Scheduler and conversations are logged in Shop-Ware. It also answers after hours. Shop-Ware doesn’t publish its price.
What it costs
Shop-Ware’s packages page lists CRM plus the Online Service Scheduler at $249 a month as an add-on. Both are included in Ultimate+, at $999 a month or $899 billed annually, along with a High Performance Website, SEO and call tracking. Google Ads enablement in Ultimate+ doesn’t include the management fee or ad budget.
Plans start at $279 a month, or $251 billed annually, for Startup. Pro is $389 or $350, and Master is $499 or $449. Shop-Ware’s CRM page says the CRM is “already part of your experience,” meaning it runs inside Shop-Ware; the packages page is where the price sits.
Shop-Ware says plans are month to month with no annual contract, and annual billing gets a lower rate. Data migration, the accounting link and Shop-Ware Payments can add fees. Shop-Ware’s site links to Vehlo’s terms of service, which say fees are non-refundable unless your agreement says otherwise.
Sapt is $297 a month flat, separate from your Shop-Ware subscription. There’s no setup fee and no contract, and we refund your payment if it isn’t worth it to you in the first 30 days. Paid ad spend is separate.
What Sapt adds around Shop-Ware
A text back for every missed call. You keep the number your customers already know, and Sapt works with almost all major phone providers. If nobody picks up, the caller gets a text back right away. We found no missed-call text-back in Shop-Ware’s public pages; its answer to missed calls is AI Receptionist. See how missed-call text-back works.
A front desk by text. Sapt’s AI front desk answers customers by text. With a connected calendar it offers real openings and books the accepted time, and you get a text for each booking. Questions it can’t answer come to you. AI Receptionist answers the phone; Sapt answers the customers who text.
Your Google listing looked after. We handle listing upkeep and send you a monthly Google Maps rank report. We found no listing upkeep or rank report in Shop-Ware’s public pages.
A website. We build it from your Google listing, on your own domain, inside the $297. In Shop-Ware, a website comes with Ultimate+.
Set up for you. Our team does the setup. And we work with one shop per area, so we won’t take on the shop down the street.
Where Shop-Ware is stronger
Its CRM lives inside your repair orders. Deferred work reminders, service reminders and “Miss You” campaigns come straight from Shop-Ware data, and you can see opens, clicks and revenue for each campaign. Sapt’s declined-work texts work from an export of your shop software.
Online booking and AI Receptionist write to your Shop-Ware schedule, and the conversation sits next to the customer’s record. Shop-Ware also lists dozens of integration partners, including marketing and review tools.
If your team already lives in Shop-Ware, one login is a real advantage.
Running both without double messages
If you keep Shop-Ware’s CRM and add Sapt, give every customer message one owner. Settle these before you go live:
Calls nobody picks up. AI Receptionist answers calls when your team can’t. Sapt texts the caller when nobody picks up. Decide which one handles an unanswered call on each number, so a caller doesn’t get both. We test that call path with you during setup.
Review requests. Shop-Ware CRM sends thank-you messages with review requests after each visit. Sapt sends one when you tap Job done. Use one and switch the other off.
Confirmations and reminders. The Online Service Scheduler sends text and email reminders before appointments. When Sapt’s assistant takes a booking request, your advisor confirms it in Shop-Ware. Check one test booking end to end so the customer gets one confirmation and one set of reminders.
Declined work. Shop-Ware CRM sends deferred work reminders from your repair orders. If you use them, let Shop-Ware own declined work.
Campaigns. Keep them in Shop-Ware, where your customer records and campaign tracking live.
The shop software checklist covers the rest of the test. If your shop runs on Shopmonkey or Tekmetric instead, see Shopmonkey CRM Essentials and Sapt or Sapt vs Tekmetric Marketing.
